Constitution
(1) That the event be known as 'The Minster Show' (Formerly 'The Minster
Flower Show')
(2) That the organising group be known as 'The Minster Show Committee'.
(3) That the objectives of this committee are:
(a) To perpetuate this traditional event.
(b) To raise sufficient funds to hold the show.
(c) To run the show on the day for the enjoyment and benefit of all.
(4) The Minster Show Committee shall have the power to nominate a President
and Vice Presidents, these positions to be honorary.
(5) The business of the Minster Show shall be conducted by the above Committee,
which will consist of a Chairman, a Secretary, a Treasurer and up to ten other
members who shall be elected at the Annual General Meeting, one officer and
four of whom shall form a quorum. Such a committee having the power to
co-opt.
(6) The officers and members of the committee shall retire annually and are
eligible for re-election, but only if 50% of all called meetings are attended.
(7) No member may be proposed for as an officer of the Committee, unless they
have served on the Committee for at least twelve months, so as to maintain
continuity.
(8) All nominations for persons to serve as committee members, or any business
to be transacted at the Annual General Meeting shall be sent in writing to the
Secretary at least two weeks prior to the announced date of the Annual General
Meeting.
(9) The financial year closes on the 30th September, and the Annual General
Meeting shall be held during the month of October, this meeting shall be open
to all. The date of this meeting to be published in writing and posted on village
notice boards.
(10) The Committee may call a Special Meeting. The Secretary, on receipt of a
request signed by six persons together with a written statement of the
business to be brought forward, shall call a Special Meeting.
(11) Persons under the age of sixteen years shall have no voting rights at an Annual
or Special General Meeting.
(12) The accounts of the Minster Show shall be audited annually and presented at
the Annual General Meeting.
(13) Any business handed back to the Committee at the Annual General Meeting;
rule ten of the Constitution does not apply whilst the Committee is dealing
with the matter.
(14) All proposals passed at an Annual or Special General Meeting shall come into
effect as of that date.
(15) All cups and trophies held or owned by the Minster Show shall be valued every
five years and shall be insured accordingly.
(16) The Minster Show will be held annually on the penultimate Saturday of July.
(17) No constitutional rule of the Minster Show shall be rescinded or altered except
at an Annual or Special General Meeting. The constitutional rules are to be
reviewed every five years.
